October Email


1. Baseline Scores (SAT, ACT, CLT Students)
All incoming SAT, ACT, or CLT clients must have baseline scores before beginning tutoring. This can be provided in one of two ways:

  • An official, full-length score report from a prior test, or
  • Completion of a full-length practice test with us before sessions begin.

This baseline data is essential, as it allows us to create an individualized program and track measurable growth throughout tutoring.

2. Staffing & Locations

  • Kylie will be on maternity leave beginning this month. Ali will temporarily step back into the Naples office to see students until we find a suitable hire to join our team.
  • Naples: Currently on a waitlist for in-person students.
  • Sarasota, Fort Myers, and Knoxville: In-person openings are available.
  • Virtual sessions remain open and unaffected.

3. Scheduling Notices

  • Ali will be away for a conference the first week of November and will not be seeing any students during this time.
  • We follow the CCPS holiday calendar. There will be no sessions during:
    • Thanksgiving Break: November 22–30
    • Winter Break: December 20 – January 4

4. Booking & Payment

  • All sessions must be paid for at the time of booking. Any unpaid appointments will be automatically cancelled without notice.
  • We do not provide services to students without a signed contract on file.

5. Tutoring Agreements & Discounted Packages

  • Every client must sign the 2025–2026 Tutoring Agreement (emailed to you). If left unsigned for longer than 7 days, the agreement will be revoked and no services or discounts will be provided until one is on file.
  • To receive the discounted 10-session rate, you must sign the 10-session contract. Without this, all sessions will be billed at the standard hourly rate.

6. Scheduling & Calendars

  • Available times listed on our booking calendars are the only times we have available. You may manage your appointments directly through the calendar links provided in confirmation emails.
  • You will receive automated confirmations and reminders (the day before and one hour before your session) with all relevant details.
  • Please do not book more than one appointment per day. Back-to-back sessions with different tutors are not permitted, as this reduces effectiveness and can cause student burnout.

7. Cancellations

  • Cancellations can be made through the links in your confirmation emails or by emailing atozer@spstutor.com. Please DO NOT email staff directly to cancel—direct all cancellation requests to Ali.
  • You must provide at least 24 hours’ notice to cancel or reschedule. Sessions cancelled with less notice—or missed entirely—will still be charged in full, with no exceptions.

8. Previous Credits
If you were a client in previous years with unused sessions, those have been converted into a cash credit. Please note: credit never expires and can be applied toward the new pricing structure listed on our Pricing Page.

Good evening families,

I’m sending this update a bit earlier than usual to help you prepare for the upcoming school year. Please note—this is an informational email only; it is not yet time to book sessions. I recommend setting a reminder in your phone based on the level of service you plan to opt into to remind you when to book.

Monthly Communication Update

Beginning next month, we will no longer send monthly update emails. Instead, all updates will be posted here:

This decision comes in response to feedback that monthly emails were often repetitive or overwhelming, especially for short-term clients. However, it is your responsibility to check this webpage each month for important information regarding:

  • Schedule changes
  • Staff availability
  • Vacation and holiday closures
  • Policy reminders

New Contracts Required Before Sessions Begin

All clients booking sessions for August 1st and beyond must have a signed contract on file before their first appointment. Your booking will prompt us to send you a fillable PDF version via email. Contracts must be signed at least 24 hours before your first session. Failure to do so will result in cancellation of the session without a refund. We will not send reminders to get the contracts signed.

  • General operating hours: Monday–Friday, 3 PM–10 PM EST
  • Staff schedules vary within this window

Program Levels & How to Book

Rising Scholars Foundation (RSF) – Formerly Bronze Tier

  • Reduced-cost virtual services for qualifying K–12 students
  • Apply here: https://risingscholarsfoundation.org/tutoring-k-12
  • Scholarships may be available for full tuition coverage
  • All sessions must be booked through RSF

Gold Level – Virtual FOCUS Sessions (K–12 only)

  • Academic tutoring only (not for test prep or private teaching)
  • Sessions conducted online only

Platinum Level

  • In-person tutoring at any office location or in-home (if qualified)
  • Also includes all SAT/ACT/CLT/GED Test Prep and Private Teaching

Elite Platinum Level

  • One-on-one sessions with Ali Tozer, the owner
  • Available via FOCUS sessions only
  • Please note: Due to travel for national test prep workshops and continuing education, you may need to reschedule some sessions yourself during Ali’s planned absences using our website

Permanent Slots & Priority Booking

  • If you'd like a permanent time slot for the school year, requests must be submitted by July 25th
  • Include your preferred tutor, day, and time after consulting the days we are available on the booking page of the website
  • You may still request recurring sessions later in the year—just notify us by the 25th of the month prior; otherwise, we cannot place you in recurring slots for the month ahead

A signed contract for 10 sessions minimum is required to:

  • Access priority booking (booking opens on the 25th each month)
  • Be eligible for recurring time slots

New Booking System Reminders

You may now book & manage your own appointments with the new system. You can cancel or reschedule appointments using the links in your confirmation email.

If you do not have a signed contract on file, your appointments will be canceled without warning.

When booking, be sure to select:

  • The correct tutor or “Auto Assign” for first-available openings
  • The correct location for in-person services — this cannot be changed once booked

If needed, text (941) 412-7947 to request cancellation. Please do not contact tutors directly for schedule changes—they will refer you back to me.

Booking Confirmations, Responsibility & Communication

  • Confirmation, reminder, and cancellation emails are automatically generated and sent to the email address on file at the time of booking.
  • Please check your spam or junk folder if you do not see a confirmation email. We are not responsible if you fail to receive these emails—our system sends them automatically.
  • We strongly recommend that you manually record your appointment dates and times as a backup.

We will no longer send reminder texts or emails for missed appointments this school year. Parents are fully responsible for ensuring their child attends both FOCUS sessions and in-person lessons on time.

We do not send texts directly to students. All communication will go through the parent or guardian on file.

During the booking process, there is an optional field where you may enter your student’s email address to ensure they receive confirmation and reminder emails as well. We cannot add this for you—it must be entered manually at the time of booking.

Cancellation & Payment Policies (Still in Effect)

Cancellations:

  • Must be made at least 24 hours in advance
  • Missed or late cancellations will be charged in full

  • Due at time of booking

Monthly Billing & Payment Policy (IMPORTANT)

We will now bill all clients on a monthly basis for the appointments they book. We are no longer billing tutoring packages upfront, unless a student is enrolled in SAT, ACT, or CLT prep—in those cases, advance package payment is still required.

Appointments not paid for by the 1st of the month will be automatically canceled without warning, and those time slots will immediately become available for other clients to book.
We will not send reminders or warnings about this policy.

We strongly encourage you to set a reminder on your phone or calendar to submit payment promptly so you do not lose your scheduled appointments.
